VACANCY ANNOUNCEMENT

Baylor College of Medicine Children’s Foundation – Malawi (BCMCF-M) is a not-for-profit organization working in partnership with the Malawi government in the health sector. Our Mission is to provide high-quality, high-impact, highly ethical pediatric and family-centered health care, health professional training and clinical research, focused on HIV/AIDS, tuberculosis, malaria, malnutrition and other conditions impacting the health and well-being of children and families worldwide.

The Baylor-Tingathe program developed in 2008 initially responded to suboptimal uptake of PMTCT and pediatric HIV services in Malawi and has grown over the past 15 years to support the full cascade of HIV care and treatment services. The current CORE programming seeks to support Malawi in achieving epidemic control, by providing client focused care to people living with HIV from the time of diagnosis to linkage and full engagement in care. BCMCF-M’s CORE programming is funded by USAID, and is currently operating in 6 districts in Malawi.

BCMCF-M is seeking qualified candidates to fill the position of:

Position: Finance Coordinator
Contract Duration:  1 year (renewable)
Position Type:  Full-time
Location:  Lilongwe, Malawi
Reports to:  Finance Manager

Job Summary, key skills and expertise

The Finance Coordinator is a person who has hands on experience in accounting including experience with accounting software (in particular Sunsystem).

S/he must be a person of integrity, organized, a self-starter capable of working with minimum supervision and highly able to deliver tasks according to set deadlines.

Duties and Responsibilities:

  • Reviewing all program payments for vendors, ensuring that appropriate supporting documentations is available
  • Reviewing  payment vouchers prepared by Finance Officers for proper coding and classification plus calculations for WHT deductions according to MRA Provisions
  • Reviewing of Journal Vouchers prepared by Finance Officers for proper coding and classification and completeness of support documentation.
  • Processing Electronic Funds Transfers in National Bank EFT Platform and Airtel Money ensuring that payments made are corresponding to amount payable as per supporting documentation.
  • Reviewing Bank Transfers for correctness and if they are made through the correct Bank Account plus if they have sufficient supporting documents for Bank Processing.
  • Reviewing transactions captured in Sunsystem for correctness, proper classification and coding and processing Correctional Journal entries.
  • Preparation of Indirect Fee Journals and Closing Journals – Revaluation and Differed Income Recognition Journal.
  • Preparation of Tingathe Monthly Financial Report for Baylor COE Consolidation and performing monthly Ledger reconciliations.
  • Coordinating Finance Team Tasks to ensure that all work flows accordingly and mentoring the team on areas that they need support on. Monitoring Weekly Staff Tasks through weekly meetings to ensure progress of work and achievement of targets.
  • Review all Program Bank Reconciliation Statements for correctness and accuracy, ensuring that there are no long outstanding transactions and initiate appropriate follow ups. Ensure that all Bank Reconciliation Statements are approved and scanned for filling and sharing with Baylor Foundation Malawi Head office (COE) as part of Monthly Reporting.
  • Update payroll according to HR and Finance Monthly Payroll updates received in a particular Month and ensure that payroll is ready for review and approval.
  • Update the payroll with all statutory changes as per Law, I.e. PAYE rates, Pension Rates, and ensure that they are correctly applied in the payroll calculations.

Candidate Profile

Applications are sought from experienced, mission-driven candidates who meet the following profile:

  • Bachelor’s Degree in Accounting or related field and ACCA/CIMA/ ICAM Final Stage
  • At least 4 years of experience as an Accountant/Finance Coordinator/Senior Finance Officer in a busy Accounting environment managing donor funded projects.
  • Strong familiarity with USAID/PEPFAR programming, rules and regulations;
  • Excellent interpersonal skills, mature, disciplined, loyal, and shows initiative with an ability to work independently and within a team;
  • Proven record of excellent decision-making skills;
  • Strong communication and writing skills;
  • Established skills in building effective internal work relationships at all levels
  • Ability to meet deadlines with strong attention to consistency, detail, and quality.
