Applications are invited from suitably qualified persons of Malawian origin to fill the vacant position of an Office Administrator tenable at the Union’s Head office in Lilongwe.

ADMINISTRATOR (PERMANENT)
– Reporting to The Secretary General
MINIMUM QUALIFICATIONS AND ATTRIBUTES
- Bachelor’s Degree in Public Administration or Business Administration or any other equivalent qualifications obtained from a reputable Institution.
- Conversant with Malawi Labour Laws, Human Resources Planning, Industrial relations
- Self-discipline and motivated with excellent interpersonal and communication skills.
- Office organizational and file management skills, strong ability to multi-task.
- Computer literacy: particularly in Microsoft Office and excel
- Budget preparation and fiscal management.
- Should possess Problem Solving Skills (including Conflict resolution/mediation skills) and ability to meet set deadlines.
- Good Planning and organizing skills.
- At least 3 years’ work experience on the same
- Aged between 25 – 35 years
- Must be ready to take up the post within a month after the job offer.
- Those with project management skills shall have an added advantage.
KEY RESPONSIBILITIES
- Supervising day to day administrative matters including transport management
- Taking of minutes and notes during Executive meetings.
- Organizing Staff, Board and UNEC meetings
- Keep records of Secretary Generals Itinerary
- Preparing budget for TUM
- Drafting and typing letters, memos and other documents.
- Ensure that all HR matters and files are treated in the strictest confidence at all times
- Facilitating the Procurement of office stationery and other items for TUM in conjunction with IPC
- Managing clerical and other administrative staff
- Attending stakeholder meetings
- Coordinates the disposition and/or resolution of individual problems and disputes involving staff members
- Perform any other tasks as may be determined by the Secretary General from time to time.
